Events Manager


Job Responsibilities

The Events Manager is responsible for the implementation, communication and smooth execution, within budget, of all IFS events, both pedagogical and non-pedagogical. These can include SIMUN, Francophonie festival, Prozap / sports competitions, Science week, concerts, conferences, webinars, Group Humanitarian events, board meetings (where assistance is requested), AGMs, Galas/social events, staff events, etc.

IFS events should aim to contribute to the promotion and reputation of the school, as well as help build a sense of belonging within the IFS community among students, parents, and staff.

Objectives of the role:
- Manage all IFS events, including timelines, venues, vendors, staffing and budgets
- Collaborate and communicate with internal and external stakeholders
- Manage and coordinate suppliers and logistics (venue, catering, decorations, lighting, etc.)
- Conduct pre and post-event evaluations and report on outcomes; take initiatives to implement improvement plans
- Engage in ad-hoc responsibilities and projects as needed to assist in the continuous growth of the school’s brand and offerings

The Events Manager will be required to execute the following activities:
- Planning event from start to finish according to requirements, target audience and objectives
- Support the school's administrative and educational departments, teachers and governing bodies to implement, communicate and execute the smooth running of events.
- Propose innovative ideas, contributing to the attractiveness of the event and the school
- Advise on the necessary actions, tools and support for properly communicating the event (posters, invitations, email comms, etc.) and post-event (thanks, information campaigns...).
- Select and manage external service providers
- In connection with marketing, seek necessary sponsors for specific events
- Attend all events they are responsible for and ensure coverage, if necessary, either directly or through an external service provider.
- Welcomes and accompanies VIPs at events and ensures the validity of their visas in line with their interventions
- Accompany stakeholders in designing and monitoring the necessary measurement indicators: assessing the impact and satisfaction of the various parties and providing areas for improvement.
- Provide logistic support (apart from travel booking) and tools and materials.
- Come up with innovative ideas which will increase the attractiveness of IFS's educational project or event.
- Advise teachers on the necessary actions, tools and materials for proper communication beforehand (posters, invitations) and afterwards (acknowledgements, information campaigns…).
- Support the teachers initiating a project or event in its design and follow-up of necessary benchmarks: review, impact, participants' satisfaction and areas of improvement.


- Minimum 3 years of higher education in the event industry
- Experience in event management and project management
- 5+ years of event logistical management experience.
- Experienced in tender, event planning and vendor relationships
- Strong ability to work in a team and a cross-functional environment
- Good communication skills, negotiation skills & ability to manage multiple and complex projects simultaneously
- High reactivity expected
- Excellent interpersonal skills
- Able to work under pressure and within tight timelines
- Evening availability /WE (when necessary)
- Rigour and organisational skills
- General knowledge of communication tools and techniques
- Good knowledge of information technologies (storage, distribution) required
- Fluent in the French language
- Good command of English required
